Calendar setup

See every agent booking in your calendar.

Reuben gives your venue a live calendar feed (an ICS link). Subscribe to it once and every booking an AI agent makes appears automatically in Google Calendar or Apple Calendar — no logins, no re-checking a dashboard.

Before you start

You'll need the Calendar subscription (ICS) link from your Reuben onboarding email. It's unique to your venue — keep it private, and don't share it publicly. Subscribing is read-only: your calendar app pulls new bookings automatically, and nothing you do in your calendar changes Reuben.

Google Calendar

Copy your calendar link

In your Reuben onboarding email, find the “Calendar subscription (ICS)” link and copy it.

Open Google Calendar settings

On a computer, go to calendar.google.com. In the left sidebar, next to “Other calendars”, click the + and choose “From URL”.

Paste and add

Paste your Reuben calendar link into the URL box and click “Add calendar”. Every agent booking now shows up in Google Calendar automatically.

Google refreshes subscribed calendars periodically, so a new booking may take a little while to appear.

Apple Calendar

From your Reuben onboarding email, copy the “Calendar subscription (ICS)” link.

Add a subscription

On a Mac, open the Calendar app and choose File → New Calendar Subscription. On iPhone or iPad, go to Settings → Calendar → Accounts → Add Account → Other → Add Subscribed Calendar.

Paste and subscribe

Paste your Reuben calendar link, then confirm. Bookings sync straight into Apple Calendar on all your devices.

On iPhone and iPad you can set how often the subscription refreshes under Settings → Calendar → Accounts.

Prefer to just watch the live list?

Your onboarding email also includes a live bookings list — a web page you can open any time to see upcoming agent bookings without setting up a calendar.
